User Guide
In compliance with UM’s objectives in cost-saving, building up an environmental-friendly and e-campus, as well as ensure all units and departments make wise use of our printing service, the University is going to impose stronger measures towards the management and operations of the printing service. To make more effective use of the service, the following guidelines have been developed:

Printing of Books
According to the “
Regime of Copyright and Related Rights” approved by the Decree-law no. 43/99/M (amended by Law no. 5/2012), request to photocopy part of the book or whole book is acceptable for academic reference purpose only. For photocopy of a whole book regardless of the total number of pages, request must be approved by the following personnel:

  1. Faculties and Institutes (FAH, FBA, FED, FHS, FLL, FSS, FST, IAPME and ICMS) – by Dean/ Associate Dean/ Director
  2. Academic Units (APAEM, CCE, CMS, GRS, HC, SKL-AMSV and SKL-QRCM) – by Dean/ Director
  3. Residential Colleges – by College Master
  4. Academic Support and Administrative Units – by Director/ Section Head

Printing of Other Materials

  • For printing quantity below 2,000 pages, with the exception of printing of a whole book, no approval is required.
  • For printing quantity over 3,000 pages or printing of a whole book regardless of the total number of pages, the request must be approved by the following personnel:
  1. Faculties and Institutes (FAH, FBA, FED, FHS, FLL, FSS, FST, IAPME and ICMS) – by Dean/ Associate Dean/ Director
  2. Academic Units (APAEM, CCE, CMS, GRS, HC, SKL-AMSV and SKL-QRCM) – by Dean/ Director
  3. Residential Colleges – by College Master
  4. Academic Support and Administrative Units – by Director/ Section Head
  • For printing quantity between 2,001 and 3,000 pages, with the exception of printing of a whole book, the request must be approved by the following personnel on behalf of Unit Heads:
  1. Fundamental Academic Units (FAH, FBA, FED, FHS, FLL, FSS and FST) – by Faculty Secretary
  2. Academic Units (APAEM, CCE, CMS, GRS, HC SKL-AMSV and SKL-QRCM) – by Functional Head
  3. Residential Colleges – by College Master
  4. Academic Support and Administrative Units – by Functional Head

Monthly Report
A monthly printing consumption report will be submitted to individual units for reference, and will draw the attention of concerned departments with suspected abuse requests.

Overtime and Urgent Request
Prior approval from the Head of FMM/Delegate should be obtained for any urgent printing request that may involve overtime service.

Printing of Course Handouts
We highly encourage academic staff to minimize the provision of printed handouts to students. This measure will be exceptional for those programmes which have included the printing cost of handouts in the course fees (e.g. programs organized by CCE and staff internal trainings, etc.)

Academic staff may consider adopting the following alternatives to reduce photocopying materials or handouts:

  • UMMoodle: UMMoodle is a web-based teaching platform where users can set up own teaching environment with a wide range of course activities including putting course handouts, assignments and quizzes. UMMoodle provides users with five interfaces namely English, Traditional Chinese, Simplified Chinese, Portuguese and Japanese. For details of UMMoodle, please visit http://webcourse.um.edu.mo. For registration and enquiries, please contact Information and Communication Technology Office (ICTO) colleagues at webcourse@um.edu.mo.
  • Documents for circulation: Academic staff can place a copy of information/handouts at the Library Circulation Counter for students to borrow and make copies.
  • Provide a copy of handouts to the class representative for making copies collectively.
Following the above-mentioned procedures, the Printing Room will take strict monitoring measures. For academic staff who make frequent printing request for large quantity of handouts and reference materials, we may request the written consent from relevant Dean / Department Head for further new requests.

Digital Printing Request via Lotus Notes
UM staff can send “Digital Printing Request” to us via Lotus Notes workspace. Through this service, you may send your files directly to the Printing Unit through the intranet. It will surely be a more convenient and time-saving service to our users.
